The right spares shelf is not the one with the most parts. It is the one that prevents avoidable downtime without tying cash up in slow, model-specific stock.
Start with a fleet register
For every kart, record make, model, approximate year, engine and type code, drive system, brake system, axle dimensions, bearing references, belt or chain specification and remote/timing equipment. Photograph labels and update the register when a component changes.
Split stock into three tiers
- Tier 1 — always on the shelf: confirmed brake pads, bearings, cables, belts or chains, filters, plugs, fuel line, axle keys, collars, fasteners, rod ends and service fluids.
- Tier 2 — buffer stock: brake discs, sprockets, pulleys, clutch wear parts, fuel-pump and carburettor service parts, stub axles and high-use protection hardware.
- Tier 3 — order against need: complete engines, calipers, axles, seats, bodywork, remote-control units, timing hardware and expensive electric components unless their lead time creates an unacceptable risk.
Calculate a reorder point
Reorder point = average weekly usage × supplier lead time in weeks + safety stock.
Example: a 25-kart fleet uses five pad sets per week, normal lead time is two weeks and the track wants one busy week of safety stock. Reorder at 15 sets: 5 × 2 + 5. Use your own recorded consumption rather than this example.
Measure in running hours
Record the hours achieved by pads, belts, chains, bearings and clutches on each kart. Honda recommends logging operating hours for commercial engines to determine maintenance intervals. This also exposes a kart consuming parts faster than the rest of the fleet, which is usually a fault to diagnose rather than a larger stock requirement.
Allow for fitment variation
Do not multiply one part by fleet size until the fleet register proves every kart uses it. Mixed calipers, replacement engines, different axle lengths and changed belt profiles are common in older fleets. Standardise only after measurements or records confirm compatibility.
Set the workshop routine
- Count Tier 1 stock weekly.
- Record every issue to a kart number.
- Review consumption and lead time monthly.
- Raise orders at the minimum level, not when the bin is empty.
- Investigate abnormal consumption before increasing the minimum.
